Dashboard vs. LinkedIn counts

Why your Dashboard and LinkedIn can show different numbers, and when a mismatch is worth reporting.

The short version

Your Dashboard updates in real time. When a connection is accepted or a lead replies on LinkedIn, your app reflects it almost immediately — there's no periodic sync to wait for. So when the numbers don't line up, it's rarely a delay. It's almost always because the Dashboard and LinkedIn are counting different things (below), or — rarely — a single update that didn't come through.

One thing that looks like lag but isn't: after a connection is accepted, your agent deliberately waits a little before sending the first message, so it behaves like a person rather than a bot. The lead moves to Accepted right away; the first message follows a bit later. That pause is by design — see The cadence.

Why the numbers can differ

  • Your own manual activity. The Dashboard tracks the leads your agent works. If you personally send connection requests or messages outside the app, those — and their accepts and replies — won't appear in your funnel. This is the most common cause of a persistent difference.
  • Different counting windows. LinkedIn shows lifetime or rolling numbers in some views; your Dashboard shows your agent's pipeline. "500 connections on LinkedIn" and "40 at Accepted" are answering different questions.
  • Old history. Connections and conversations from before you started using The Sales Ninja belong to your LinkedIn history, not your agent's pipeline.
  • A missed update (rare). Now and then a single accept or reply may not register. If one is clearly on LinkedIn but stays missing from the app, that's the case to report.

What normal looks like

  • An accept or reply on LinkedIn shows up on your Dashboard within moments.
  • When a lead replies, they move to Replied and all automated follow-ups to that person stop right away.
  • The pipeline reflects your agent's work, not your manual LinkedIn activity — so those two totals won't match, and don't need to.

When to report it

Contact us if either of these holds:

  • A specific accept or reply is visible on LinkedIn but still missing from the app well after it happened (it should appear within moments).
  • A lead replied on LinkedIn but still shows as Connection sent or Accepted — this matters most, because follow-ups should stop when someone replies.

Send the details to support with your account email, the lead's name or profile link, a screenshot of what LinkedIn shows, and what the Dashboard shows instead. A concrete example lets us trace it quickly.
